SMS Event Administration

The on-line versions of the LMSC Handbook and the USMS Rule Book at the USMS web site contain documents needed to comply with USMS requirements for events associated with USMS, which includes the SoLMSC.  The above list highlights the sections that are most needed.  Following are general descriptions of some of the documents listed above.

  • SMS Sanction Instructions
    • Instructions from the Sanctions Chair of the Southern LMSC of USMS.
  • USMS Liability Release (Copy)
    • This is a copy of the liability release by USMS that is required to be on all signed event entry forms associated with USMS.  The master document is contained in the USMS Rule Book.  (see below)
LMSC Handbook
  • Registrations
    • Individual
      • Individuals must be registered with USMS in order to participate in USMS events.  This is a leagal requirement bound by insurance regulations.
    • Team/Club
      • New clubs may register at any time by completing the Club Membership Application and submitting it to the LMSC registrar.  The two- to four-letter abbreviation selected by a new club my not be one that is already in use (refer to the list of club abbreviations at the end of the LMSC Registration Handbook).  Club abbreviation confirmations may be made with the National Office.
    • One Event
      • One-event registration is an optional policy that an LMSC may use to register swimmers for a one-time-only event, such as a swim clinic, a meet, or an open water swim. (An event that spans consecutive days, such as a two-day swim meet, counts as "one event.")
      • Swimmers must complete, and sign and date, the One-Event USMS Registration Application, which must include the liability release.  All appropriate fees must accompany the application.
      • Certain restrictions apply regarding times and points earned by one event members.  The meet officials should be clear and well informed on this issue prior to the meet.
  • Sanctions
    • General Information
      • Official introduction by USMS to the sanctioning process.
    • Application for Sanction
      • A Scantioned event is the traditional USMS event where all participants are USMS-registered swimmers (full year or one day) and USMS liability insurance is in effect.
    • Application for Recognition
      • A Recognized event is any event where participants may or may not be USMS-registered swimmers.  Times of USMS-registered swimmers are eligible for LMSC/USMS Top Ten and Records consideration.  If the event is not sponsored by USA Swimming, YMCA, FINA, or SCN, then a designated observer must report that the event meets USMS standards.
    • Open Water Swimming Application for Sanction
      • An Open Water event receives a similar sanction as a sanctioned event, but a different form must be completed.
    • Guidelines for Warm-UP / Warm-Down
      • Safety guidelines for all events.
  • Top Ten / Records and Tabulations
    • Pool Length Certification Form
      • There is a requirement that all pools be certified for length prior to sanctioning for USMS Top 10 and record consideration.  This issue has been thoroughly discussed at the national level within USMS and was initiated because some world records were unfortunately thrown out after the fact because of a marginally short pool.
      • Your pool must be measured and certified that it is at least the distance of your events configured for competition (including all touch pads to be used in competition in place).  Pools must be at least 25.00 yards or meters or 50.00 meters.  There is no tolerance (i.e. 49.999 meters does not meet the 50 meter requirement).
  • USMS Insurance Program
    • Report of Occurrence
      • The report of occurrence is to be used if anyone is ever injured at a swimming event.  This report is typically filed with the LMSC and with the insurance company as a first report of any incident.
USMS Rule Book
  • Administrative Regulations of Competition (rules: part 2)
    • USMS Liability Release
      • This release form is required on all event entry forms, and must be signed by the participant.
  • Information for Meet Directors and Officials
    • Appendix B of the USMS rule book contains important information for the event director.
